SimplyFile

A long list of email messages could take days to sort. If you want to organize all your messages in separate folders, you will need more than a search function and the possibility of creating folders. If you are an Outlook user, you could try SimplyFile. It will give you that extra edge you need to manage your messages, create tasks, schedules and more. It integrates with MS Outlook, placing new options at your disposal, that will make your work much easier.

The installation package is about 1 Mb large. You only need to click a few Next buttons to install SimplyFile. You will not find any confusing options along the way, so the entire process will take less than a minute. The application works on Windows XP, Vista and Windows 7 and it is compatible with Outlook 2003, 2007 and 2010.

SimplyFile does not have an interface of its own. Once installed, the application will place a new toolbar on Outlook's main window. The new options allow you to file your messages in various ways. The fastest way is to select a message, choose a folder from a drop menu, located on the new toolbar, and click the File Message option. By default, the menu does not contain any folders, but it does contain an option for selecting or creating one, on a separate window. Once you create or select a folder, your message will be moved instantly and the folder's name will appear in the menu.

The application's capabilities do not stop at sending single messages to different folders. It allows you to file all messages from the same sender or in the same thread. You can find separate options for these actions. If a message is selected, you may click one of these options, select a folder, on a separate window and click a button to file the messages. Additionally, the application allows you to use messages to create tasks and appointments.

If a message does not require your immediate attention and it gets in your way, you can use a Snooze option, which temporarily hides it. One of SimplyFile's most important features is that it gives you the possibility of training it. All it requires is to select a folder, on a different window and to click a button. This is how you tell the application where you store most of your messages, but it is not as basic as it sounds. You can target the top-most folder in your mailbox and start filing messages as usual. The software will constantly scan the selected folder and its sub-folders and it will learn about your filing habits.
